Understanding permissions

TL;DR: Subitem Automations works with  monday.com 's standard permission system. Most users have what they need by default — Admins and Members with edit access on the board. This article explains the three permission levels (Account, Workspace, Board) and what to check if you ever hit a permissions error.

The three permission levels you need

monday.com  requires explicit permissions at three levels. The user creating the automation needs the right level at all three:
  • Account level — Create automations / integrations + Create webhooks
  • Workspace level — Create automations / integrations + Create webhooks
  • Board level — Edit access (Owner, Subscriber, or Member with edit rights)
If you're an Admin or a Member with standard edit access, you almost certainly have all three. The sections below show how to verify each level if you ever need to.

1. Verify Account-level permissions

Navigate to your avatar (upper-left corner)AdministrationPermissions.
You'll see different roles (Admin, Member, Guest, etc.). For the user who'll create the automation, confirm their role allows:

Create automations / integrations

Create Integrations → Webhooks

2. Verify Workspace-level permissions

Open the workspace dropdown → select the relevant workspace → Permissions.
You'll see Workspace Owner, Workspace Member, and Workspace Non-member roles. For the user who'll create the automation, confirm their role allows:

Create automations / integrations

Create Integrations → Webhooks

3. Verify Board-level permissions

Open the board → click the 3-dot menuPermissions.
The user must have edit access — one of the first two options should be selected (Owner, Subscriber, or Member with edit rights):

Common gotchas

  • All three levels matter. If even one (Account, Workspace, or Board) is missing, automation creation will fail — even if the other two are correct.
  • Roles can vary by workspace. A user who's an Admin in one workspace may be a Member in another. Check the workspace where the automation lives.
  • Guests can't create automations. They need to be promoted to Member or higher first.
  • Permission changes are instant — refresh your browser after permissions update and try again.

Troubleshooting: if creation fails

If creating an automation returns:
"Sorry, something went wrong, please try again or contact the developer"
this is almost always a permissions gap at one of the three levels. Walk through the three verification sections above and update whichever role is missing the permission.

If permissions are right but the error continues

The app's connection to your  monday.com  account may be in a broken state. The fix is to uninstall and reinstall:
Click the puzzle icon at the top-right of  monday.com  to open the Marketplace.
Find Subitem Automations → click the 3-dot menuUninstall.
Reinstall and add it to the relevant workspaces (we recommend All Workspaces).
    Re-create your automation.
Heads-up: reinstalling resets the app's connection — clearing the error — but any automations you previously created will be deleted and need to be recreated. Save complex configurations before uninstalling. Try permission fixes first; reinstall only as a last resort.
For full reinstall steps, see  Install & set up .
