TL;DR: Push project deadlines and milestones from monday.com to your personal Outlook Calendar — automatically. When a date changes on your board, the calendar event updates too. Never miss a deadline because it was only on the board.
The scenario
You're a project manager (or team member) who tracks tasks and milestones in monday.com but relies on Outlook Calendar for your daily schedule. You want every important deadline to show up in your calendar as an event — and stay updated when dates shift.
Have a project board with Date columns for your deadlines
Board setup
Your project board needs these columns at minimum:
Name — becomes the event title (e.g., "Website launch deadline")
Date — mapped to the event start date (your deadline date)
Hour (optional) — mapped to the event start time. If not mapped, the event defaults to an all-day event.
Numbers (optional) — mapped to duration in minutes, if you want timed events
Text or Long Text (optional) — mapped to the event description for extra context
Person (optional) — if you want the sync to trigger only when someone is assigned
Sync configuration
Open the app sidebar on your board and set up a new sync.
Sync scope — select your Outlook calendar.
Outgoing data — enable outgoing sync so monday.com items create events in Outlook.
Field mapping — map the columns listed above to the corresponding event fields.
Conditional triggering (optional) — only sync items with a specific status (e.g., "In Progress" or "Confirmed") to avoid pushing draft tasks to your calendar.
Common gotchas
When the date changes on the board, the calendar event updates automatically — no manual re-entry.
If you don't map a time column, events are created as all-day events on the deadline date.
Use conditional triggering to avoid cluttering your calendar with every task — only push the ones that matter (e.g., items in a specific status or group).
Each team member connects their own Outlook account, so deadlines appear on the right person's calendar.
