Install & access

How do I install Subitem Automations?

Open the puzzle icon in  monday.com  → search "Subitem Automations" → click Install app → choose installation scope (we recommend All Workspaces) → add to your first board → set up your first automation in the Automation Center.

Do I need admin rights to install it?

Yes. Only  monday.com  admins (or users with explicit app-install permissions) can install Marketplace apps. If you're not an admin, ask yours to install it for you.

Can I install the app on multiple boards?

Yes. Once installed in a workspace, the app is available to every board in that workspace. There's no per-board cost or limit.

Plans, billing & usage

What counts as one "action"?

An action is anything an automation does on your behalf — one status change, one date update, one link. If the automation updates 10 subitems at once, that's 10 actions.

How many actions are included in the Free plan?

200 actions per month. Quota resets on the 1st.

What happens if I run out of quota?

Your automations pause until the start of the next month, when the quota refreshes automatically. We never auto-upgrade your plan. If you need to keep automations running, you can upgrade manually — the new quota is available immediately.

Do unused actions roll over to the next month?

No. Each plan resets fresh on the 1st of every month. Unused actions don't carry over.

How do I upgrade my plan?

Puzzle icon → Manage → find Subitem Automations → See plans → checkout. Only admins/owners can upgrade. Yearly billing includes ~18% off.

How do I downgrade my plan?

Same flow as upgrade — open Manage in the Marketplace, find Subitem Automations, click billing, and select a lower tier. Only admins/owners can downgrade.

How do I cancel my plan?

Switch to the Free plan from your billing page anytime — you keep full access to your current plan's features until the end of the billing cycle. To stop using the app entirely, uninstall via the puzzle icon → 3-dot menu → Uninstall.

Where is billing managed?

 monday.com  handles all payments. We don't see your card details and don't bill you directly. Currently only credit cards are accepted via the Marketplace.

Can I pay by invoice or wire transfer instead of credit card?

Not directly through the Marketplace —  monday.com  only supports credit cards there. For wire transfer, contact your  monday.com  account manager.

How do I track my monthly usage?

 monday.com 's Autopilot hub shows your top 10 most-used automations, but it doesn't always reflect exact remaining actions for a third-party app. For exact numbers, email  hello@fantasymedia.io  — we'll send back your usage within a few hours. We also email alerts at 50%, 75%, and 100% of quota.

Do you offer discounts for nonprofits / NGOs?

Yes — discounted rates on Intermediate and higher plans. Email  hello@fantasymedia.io  with a few details about your organisation.

Security & data

Do you store any of my  monday.com  data?

No. We don't store any of your board or work data. The only data we keep is basic subscription metadata (plan type, remaining actions, the email of the admin who installed the app).

Is the app GDPR compliant?

Yes. Subitem Automations is fully GDPR compliant and adheres to  monday.com 's data protection framework.

Do you have formal security certifications (ISO, SOC 2)?

Fantasy Media doesn't maintain its own ISO/SOC certifications, but our service inherits the certifications of the platforms we build on:
  •  monday.com : SOC 2 Type II, ISO 27001, ISO 27701
  • Google Cloud Platform: ISO 27001, ISO 27017, ISO 27018, SOC 2
All data handled by Subitem Automations inherits these high-level security controls.

Can I delete all data related to my account?

Yes. Uninstall the app at any time — this revokes API access, deletes stored subscription data, and stops all automation processing. For confirmation in writing, email  hello@fantasymedia.io .

Is Subitem Automations reviewed by  monday.com ?

Yes. The app passes  monday.com 's security and compliance review before approval — covering OAuth permissions, data handling, and privacy policy.

Technical concepts

What are webhooks?

Webhooks are how  monday.com  tells our app when something changes on your board (e.g. "a subitem was created"). They're the trigger mechanism behind every automation. Webhooks don't count toward your action quota — only the actions the automation performs do. → Full details:  Understanding webhooks: when they fire and how to delete them 

Troubleshooting

I made many changes at once and some didn't update — why?

 monday.com 's API has a per-minute action limit on every account. If you make a lot of changes quickly, you may hit it. We have a built-in retry mechanism — once your limit refreshes (after 1 minute), the app continues your automations automatically. No action needed on your end.

Can I reinstall the app without losing data?

No. Reinstalling resets the app's connection to your  monday.com  account, which means all your existing automations are deleted and need to be recreated. Save complex configurations before uninstalling.
