TL;DR: Pull your Outlook meetings into a monday.com CRM board so every deal has a complete meeting history — automatically. New meetings create items, updated meetings update the item, and your sales pipeline stays in sync without manual entry.
The scenario
You're a sales rep (or sales manager) who lives in Outlook Calendar for customer calls and demos. Your CRM pipeline lives in monday.com. You want every customer meeting to automatically appear on your deals board — with the meeting title, date, time, attendees, and a link back to the Outlook event.
Have a CRM or sales board ready (or create a new one)
Board setup
Create a board (or use your existing CRM board) with these columns:
Name — mapped to the event title (e.g., "Demo call with Acme Corp")
Date — mapped to the event start date
Hour — mapped to the event start time
Date (second date column) — mapped to the event end date
Hour (second hour column) — mapped to the event end time
Text — mapped to attendees (comma-separated email addresses)
Text or Long Text — mapped to the event description
Person — assign deals to the rep (set manually or via conditional triggering)
Status — track deal stage (set manually)
The Integration Column ("Outlook Event Link") is created automatically and stores the link between each item and its Outlook event.
Sync configuration
Open the app sidebar on your board and set up a new sync.
Sync scope — select the calendar that contains your customer meetings.
Incoming data — enable incoming sync so new Outlook events create items on this board.
Field mapping — map event fields to the columns listed above.
Conditional triggering (optional) — filter by event title keyword (e.g., only sync events containing "demo" or "call") to avoid pulling in personal events.
Common gotchas
If you have multiple reps, each one connects their own Outlook account on the same board. Each rep's meetings sync to the same board — use a Person column or conditional triggering to keep them organized.
To avoid syncing personal events (lunch, gym, etc.), use conditional triggering to filter by title keywords or by calendar folder.
Consider using the Import Past Events feature to pull in historical meetings when you first set up the sync.
