Install & access

How do I install Outlook Calendar Integration Plus?

Open the puzzle icon in  monday.com  → search "Outlook Calendar Integration Plus" → click Install app → choose installation scope (we recommend All Workspaces) → open any board → click the app in the sidebar to start configuring your first sync.

Do I need admin rights to install it?

Yes. Only  monday.com  admins (or users with explicit app-install permissions) can install Marketplace apps. If you're not an admin, ask yours to install it for you.

Can I use the app on multiple boards?

Yes. Once installed in a workspace, the app is available on every board in that workspace. Each board has its own independent sync configuration.

How do I connect my Outlook account?

Open the app sidebar on any board and click Connect. You'll be redirected to Microsoft's sign-in page. Sign in with the Outlook account whose calendar you want to sync, then grant the requested permissions.

What Outlook data does the app access?

Calendar events only. The app does not access your emails, contacts, files, or any other Microsoft data.

Sync setup

What sync directions are available?

Three options per board:
  • Incoming (Outlook →  monday.com ) — Outlook events create/update items on your board
  • Outgoing ( monday.com  → Outlook) — board items create/update events in your calendar
  • 2-way — changes flow in both directions

Can I sync multiple calendars to the same board?

Each user connects one calendar per board. If multiple team members each connect their own calendar to the same board, each person's events sync independently. For managing multiple team calendars from a single setup, see  Personal vs. Team .

Can I filter which events sync?

Yes. Conditional triggering lets you filter events by title keyword, calendar folder, or other criteria — so only relevant events sync to your board.

Can I import past events?

Yes. When you first set up a sync, you can choose to import existing events from your calendar into your board.

What happens if I change the field mapping after events are already synced?

New events will use the updated mapping. Existing items are not retroactively updated to match new field mappings.

Can I use automations instead of the sync sidebar?

Yes. The app includes 15 automation recipes for trigger-based workflows. Automations are a secondary option — they offer fewer options and less control compared to a full sync configuration.

Plans, billing & usage

What counts as one "action"?

An action is one sync operation — one event created, one event updated, one item created. If the sync processes 10 events at once, that's 10 actions.

What happens if I run out of quota?

Your syncs pause until the start of the next billing cycle, when the quota refreshes automatically. We never auto-upgrade your plan. If you need syncs to keep running, you can upgrade manually — the new quota is available immediately.

Do unused actions roll over to the next month?

No. Each billing cycle resets fresh. Unused actions don't carry over.

How do I upgrade my plan?

Puzzle icon → Manage → find Outlook Calendar Integration Plus → See plans → checkout. Only admins/owners can upgrade. Yearly billing includes a 25% discount.

How do I downgrade or cancel?

Same flow as upgrade — open Manage in the Marketplace, find Outlook Calendar Integration Plus, click billing, and select a lower tier or switch to Free. You keep full access until the end of the billing cycle.

Where is billing managed?

 monday.com  handles all payments. We don't see your card details and don't bill you directly. Currently only credit cards are accepted via the Marketplace.

Can I pay by invoice or wire transfer instead of credit card?

Not directly through the Marketplace —  monday.com  only supports credit cards there. For wire transfer, contact your  monday.com  account manager.

How do I track my monthly usage?

 monday.com 's Autopilot hub shows your app usage. For exact remaining actions, email  support@fantasymedia.io  — we'll send back your usage within a few hours.

Do you offer discounts for nonprofits or startups?

Yes — discounted rates on paid plans. Email  hello@fantasymedia.io  with details about your organisation.

Security & data

Do you store any of my data?

No board, item, or calendar event content is stored on our end. The only data we keep is subscription metadata (plan type, remaining actions, the email of the admin who installed the app).

How are my Microsoft tokens handled?

We use  monday.com 's short-lived authentication tokens and monday code's secure vault. We never store authentication tokens on our own servers.

Is the app GDPR compliant?

Yes. The app runs on monday code, which complies with GDPR, HIPAA, ISO 27001, and SOC 2.

Can I delete all data related to my account?

Yes. Uninstall the app at any time — this revokes API access, deletes stored subscription data, and stops all sync processing. For confirmation in writing, email  hello@fantasymedia.io .

Can I reinstall the app without losing my sync configuration?

No. Reinstalling resets the app's connection to your  monday.com  account, which means all your existing sync configurations are deleted and need to be recreated. If you're troubleshooting, try  re-authenticating with Microsoft  first before reinstalling.

Troubleshooting

My Outlook events aren't appearing on my board — what should I check?

Check that: (1) your Outlook account is connected, (2) incoming sync is enabled, (3) your action quota isn't exhausted, (4) conditional triggering isn't filtering out the events. If the event was created before you set up the sync, it won't appear unless you imported past events.

Events are showing the wrong time — why?

This is almost always a timezone mismatch. Make sure your Outlook calendar timezone matches your  monday.com  account timezone.

My sync stopped working — what happened?

Common causes: your Microsoft token expired (re-authenticate), you hit your monthly action quota (upgrade or wait for reset), or someone disconnected the Outlook account. Check  Re-authenticate with Microsoft  first.

What's the difference between the Personal and Teams app?

Personal (this app): you manage your own calendar sync per board. Teams: one setup manages all team calendars — events are automatically assigned to the right person based on the People column.
