Outlook Calendar Event Parameters

The creation of events in Outlook Calendar is based on four key parameters:
  • Start Date
  • End Date
  • Start Time
  • Meeting Length
These factors are very straightforward when creating events from within Outlook Calendar - You go to the calendar interface, add the relevant details and there you go. You wouldn't create an event without a date right? It's simply not possible.
When using an integration, sometimes it's not that simple. In some cases, one or more of the parameters are missing, which raises the question of "how to handle such cases?"
This section explains how we handle each scenario and how different combinations of these parameters affect event creation.

Main Defaults

  • If meeting length isn't provided - we use 30 minutes as default.
  • If start time isn't provided - we use 9am as default.
  • If end date isn't provided - we assume it's on the same day.
  • If start date isn't provided - we use the end date as a start date.
  • If the event's start date and end date are not on the same day - The event will be added as full day event and will not take into account the meeting length and start time.


Specific Behaviours - Full Version

All Parameters Provided
  • The event starts based on the specified Start Date and Time.
  • Remember - if the start date and start time are not the same, it will be treated as a multi-day event.

Start Date, End Date, and Start Time Provided
  • The event starts on the specified Start Date and Time.
  • Meeting Length will be set to 30 minutes by default.

Start Date and End Date Provided
  • The event will be created as a full-day event. Even if it's 1 single day.

Start Date, Start Time, and Meeting Length Provided
  • Event will be created based on the parameters.

Start Date and Start Time Provided
  • Event starts on the specified Start Date and time.
  • Meeting Length will be set to 30 minutes by default.

Start Date and Meeting Length Provided
  • Event starts on the specified Start Date.
  • Start time is 9 am.
  • Meeting Length based on parameter.

End Date, Start Time, and Meeting Length Provided
  • Will use the end date as the start date.
  • Hour and length based on details provided.

End Date and Start Time Provided
  • Will use the end date as the start date.
  • Will use 30 minutes as default meeting length.
  • Start time based on details provided.

Only Start Date Provided
  • Will use 30 minutes as default meeting length.
  • Will use 9am as default start hour

Only End Date Provided
  • Will use end date as the start date.
  • Will use 30 minutes as default meeting length.
  • Will use 9am as default start hour

Understanding these behaviors will help you set up your automations effectively, ensuring events are created in Outlook Calendar as intended based on the information provided in  monday.com .

What about Timelines?

  • If the timeline is mapped to the start date - Will use its beginning date.
  • If the timeline is mapped to the end date - Will use its ending date.
