Sometimes customers notice this: the app syncs new Outlook events into monday.com , but it doesn’t pull in the events that were already on the calendar. Good news: you can bring existing events into monday.com . You just need to make a small change to each event so Outlook “tells” the app something changed. The app works by watching for changes in certain Outlook event fields. When it notices a change, it syncs the event to monday.com . If the event has never changed since the app was connected, the app may not detect it — so no item gets created.
What the app looks for
The app detects changes made to key Outlook event fields such as:
• Start Date
• End Date
• Time
• Duration
• Description
• Attendees
• Location
When one of these fields is modified, the app detects the change. If the corresponding item does not yet exist in monday.com , a new item will be created automatically. Some fields (like Start Date, Time, and Attendees) are usually things you don’t want to touch. So the simplest method is to edit the Description field of the Outlook event.
You don’t need to rewrite anything. Even a tiny change works:
• Add a single word • Or add a period “.”
Once the change is detected, the app will create the item on your monday board.
Open the event in your Outlook Calendar.
Go to the Description field.
Add something small (like a word, or just “.”).
Click Save.
Repeat for the other existing events you want to import.
After you save, the app should detect the change and sync the event into < monday.com > as a new item. The syncing process takes anywhere from a few seconds to a minute or two. If you have a lot of events to import, start with a few test events first. Once you see them appear in monday.com , you can repeat the same tiny Description edit for the rest.
