The scenario

You're a recruiter or HR manager running a hiring pipeline in  monday.com . Interviews are booked in Outlook, but you need them visible on the board — so the team can see who's interviewing when, track which stage each candidate is at, and avoid scheduling conflicts across interviewers.
Sync direction: Outlook →  monday.com  (incoming)

When to use it

Before you start

  • Each interviewer needs their own Outlook account connected — the personal app syncs from individual calendars.
  • Create a dedicated hiring pipeline board (or a group on an existing board) before configuring the sync.
  • Use a consistent naming convention for interview events in Outlook (e.g., "Interview — Jane Doe — Sr. Engineer") so conditional triggering can filter them.

Board setup

Create a "Hiring Pipeline" board (or a dedicated group) with these columns:
  • Name — mapped to the event title (e.g., "Interview — Jane Doe — Sr. Engineer")
  • Date — mapped to the event start date
  • Hour — mapped to the event start time
  • Date (second) — mapped to the event end date
  • Hour (second) — mapped to the event end time
  • Person — assign to the interviewer whose calendar the event came from
  • Text — mapped to attendees (candidate email, other panelists)
  • Text or Long Text (optional) — mapped to the event description (interview notes, prep links)
  • Status (optional) — manually track interview stage (Phone screen, Technical, Final, etc.)
  • Location (optional) — mapped to the event location (meeting room or video link)

Sync configuration

    Each interviewer opens the board and connects their Outlook account via the app sidebar.
    Sync scope — select the calendar where interviews are booked (usually their primary work calendar).
    Incoming data — enable incoming sync so interview events create items on the board.
    Field mapping — map event fields to the columns above.
    Conditional triggering — filter to only sync events with "Interview" in the title (or another keyword your team uses). This keeps non-interview meetings off the board.

Common gotchas

  • Conditional triggering is key here — without it, every meeting on the interviewer's calendar will sync to the board, not just interviews. Use a title keyword filter.
  • If multiple interviewers are on the same panel interview, each connected interviewer will create a separate item for the same event. Use the attendees column to spot duplicates, or designate one person as the "sync owner" per interview.
