TL;DR: You can run multiple syncs across different boards, calendars, and even Outlook accounts. This guide covers how to manage them effectively — organizing by board, avoiding conflicts, and keeping your action usage in check.
The scenario
You're a power user who uses Outlook Calendar Integration Plus on multiple boards — maybe a CRM board for sales meetings, a project board for deadlines, and a personal board for day-to-day tasks. Each board has its own sync configuration, and you may be working with different calendars or even different Outlook accounts.
When to use it
Power users running syncs on multiple boards (e.g., CRM + projects + personal)
Teams where several people sync their own calendars to the same board
Anyone who needs to segment Outlook events across different boards by purpose
Before you start
Have your boards already created with the right columns before adding syncs.
Plan which calendar goes to which board — syncing the same calendar to multiple boards creates duplicates and doubles your action usage.
Know your plan's monthly action quota — actions are shared across all boards. See Plans, Billing & Usage .
How multiple syncs work
Each sync is board-level. You configure the sync on each board independently through the app sidebar.
Each board can have its own calendar. You can sync one board to your "Work" calendar and another to a "Projects" calendar.
Each board can have its own direction. One board can be incoming-only (Outlook → monday.com), another outgoing-only (monday.com → Outlook), or both.
Multiple users can sync on the same board. Each user connects their own Outlook account, and their events sync independently.
Tips for managing multiple syncs
Keep syncs organized
One board, one purpose. Don't mix CRM meetings, project deadlines, and personal events on the same board — use separate boards for each use case.
Name your calendars clearly in Outlook so it's easy to pick the right one during sync setup (e.g., "Sales Meetings", "Project Deadlines" vs. just "Calendar").
Use groups on your board to separate events by type, team, or time period.
Avoid conflicts
Don't sync the same calendar to multiple boards — this creates duplicate items and uses double the actions.
Don't run a 2-way sync and an automation on the same board for the same items — they can create conflicting events or duplicate actions.
Use conditional triggering to segment events when needed (e.g., events with "Client" in the title go to the CRM board, events with "Sprint" go to the project board).
Watch your action usage
Every sync action (create or update) counts toward your monthly quota — across all boards.
If you have 3 boards each syncing 50 events/month, that's 150 actions minimum.
