Troubleshooting


TL;DR: Solutions to the most common issues with Outlook Calendar Integration Plus — events not syncing, wrong times, paused syncs, permissions errors, and more. If nothing here helps, contact us at  support@fantasymedia.io .

My event wasn't created

To create an event in Outlook, certain mandatory fields must be filled. When adding an event directly in Outlook Calendar, you'd never skip the date — but when syncing from  monday.com , required columns might be empty, preventing the event from being created.
Required fields: Title (Name column) and Start Date (Date column). If other fields are missing, default values are used.
Troubleshooting:
  • Check your field mapping — make sure the correct columns are mapped to the required fields. See  Field Mapping  .
  • Verify the mapped column has a value — if you mapped a Date column to Start Date, make sure the cell actually contains a date.
  • Check column type compatibility — you can't map a Status or Number column to the Title field. The column type must match what the field expects.

Event created at the wrong time

If you notice differences between the event time in  monday.com  and your Outlook Calendar, it's likely due to timezone differences between the two platforms.

Check your  monday.com  timezone

Go to the avatar menu (top-right) → My profileLanguage & region → check your timezone.

Check your Outlook Calendar timezone

Go to your Outlook Calendar → SettingsTimezones.

How timezones are handled

If  monday.com  and Outlook Calendar have different timezones, event times are automatically adjusted to match your calendar's timezone.
Example:
  • Your  monday.com  timezone is GMT+0 (London)
  • Your Outlook Calendar timezone is GMT+1 (Amsterdam)
  • An item scheduled for 10:00 AM in  monday.com  will appear as 11:00 AM in your calendar
This ensures that event times remain accurate based on your calendar's settings. To fix a mismatch, align the timezone in both platforms.

I re-assigned an event and the previous one wasn't deleted

When using the personal calendar, events don't move between calendars. If an item was initially linked to Person X's calendar and later assigned to Person Y:
  • A new event is created in Y's calendar
  • The event in X's calendar remains — they will need to manually remove it
This is a limitation of personal calendars. For teams where events frequently move between members, consider using Outlook Calendar for Teams, which allows smoother reassignment and event management.

My sync stopped working

If your sync was working and suddenly stopped, it's usually one of these:
  • Quota reached — syncs pause automatically when you hit 100% of your monthly actions. You'll receive email notifications at 50%, 75%, and 100%. Upgrade your plan or wait for the next billing cycle. See  Plans, Billing & Usage  .
  • Microsoft token expired — your connection to Microsoft may have expired. You'll need to re-authenticate. See  Re-authenticate with Microsoft  .
  • Outlook account disconnected — if someone disconnected their Outlook account (from the app or from Microsoft's side), the sync will stop for that user. Re-connect via the app sidebar.

Integration Column issues

The Integration Column ("Outlook Event Link") stores the link between your  monday.com  items and Outlook events. If it's deleted or broken, syncs can't create or update events.

Quick fixes:
  • Column deleted — restore it from the board's trash (available for 30 days). If it can't be restored, manually create a Link column named "Outlook Calendar Integration".
  • Event link deleted — the event itself still exists in Outlook, but future updates won't sync. Copy the event URL from Outlook and paste it back into the cell.

Permissions issues

If you see the error "Sorry, something went wrong, please try again or contact the developer", it's usually a permissions issue at one of three levels: Account, Workspace, or Board.

Quick checklist:
  • Account level — the user's role must be allowed to create automations/integrations and webhooks (Admin → Permissions)
  • Workspace level — same permissions must be enabled for the user's workspace role
  • Board level — the board must allow the user to edit and create automations (Board menu → Permissions)

Common gotchas

  • Sync issues are almost always caused by one of: missing field values, expired Microsoft tokens, or permissions. Start with those three.
  • The app sends email notifications when your quota reaches 50%, 75%, and 100% — check your inbox (or spam folder) if you suspect a quota issue.
  • When in doubt, try disconnecting and reconnecting your Outlook account via the app sidebar. This refreshes the Microsoft token and often resolves connection issues.
