TL;DR: Every time the app creates or updates an event or item, it counts as one sync action. Your plan gives you a set number of actions per month — once you hit the limit, syncs pause until the next month or until you upgrade.
How counting works
A sync action is counted each time the app performs a create or update operation on your behalf — whether that's creating an event in Outlook, updating an item on your board, or syncing a field change from one side to the other.
The rule is simple: 1 create or update = 1 action.
Examples
You create a new item on your board → the app creates 1 event in Outlook → 1 action
You update an event's title in Outlook → the app updates the item name on your board → 1 action
You update 10 items on your board at once → the app updates 10 events in Outlook → 10 actions
You import 25 past events from Outlook → the app creates 25 items on your board → 25 actions
You change a mapped field but the sync direction blocks it (e.g., field is Outlook → monday only) → 0 actions
What does NOT count as an action
Changing a column that isn't mapped — the app ignores it
Changes blocked by sync direction — if a field is set to Outlook → monday only, board changes to that field don't trigger a sync
Changes blocked by conditional triggering — if an item or event doesn't match your filter conditions, no sync runs
Reading data — the app only counts writes (creates and updates), not reads
Estimating your usage
A rough formula:
Monthly actions ≈ (new events + new items created) + (updates to mapped fields on either side)
If you have a 2-way sync with 5 mapped fields and update all 5 fields on one item, that's 1 action (the app pushes the update as a single operation), not 5.
Tips to stay within your quota
Start with fewer mapped fields — only map what you need. Fewer mapped fields means fewer sync triggers
Use conditional triggering — filter out events and items you don't need to sync
Use one-way direction where possible — if you only need calendar events to appear on your board (not the other way around), set it to Outlook → monday only. This halves your action count

Common gotchas
Actions reset on the first day of each month
We send email notifications at 50%, 75%, and 100% of your quota
When you hit 100%, syncs pause — they don't fail or lose data. They resume when your quota refreshes or you upgrade
Upgrading immediately refreshes your quota — paused syncs resume right away
Importing past events uses the same action pool as regular syncing — plan accordingly
