How to Set Up Your First Automation

The Subitem Automations app helps you automate actions between items and subitems in  monday.com  — so you can save time, stay organized, and keep your boards running smoothly.
Even if you’re new to automations, this step-by-step guide will walk you through setting up your first automation in just a few minutes.


Puzzle Piece Step 1: Open the Automations or Integrations Center

To create your first automation, you’ll start right from your  monday.com  board.
    Go to the board where you want to add an automation.
    Click Automate → Create
  • Alternatively, you can click Integrate → Create:
    Make sure you’re on the “Create” tab — this is where all available apps and recipes appear:
    In the search bar at the top, type “Subitem”.
    Under the “Apps” section, you’ll see two features from Fantasy Media:
  • Subitem Automations – Top Automations
  • Subitem Automations – All Automations
You can click either one to open it and explore automations.
Light Bulb You’re not choosing an app and then a page — both “Top Automations” and “All Automations” appear separately in your search results as two app features. Simply choose the one you want to open.


Glowing Star Step 2: Choose Between “Top Automations” and “All Automations”

1. Top Automations

When you click this feature, you’ll land on the Top Automations page — a curated list of 17 of the most popular automations, based on real user usage.
These are the most common automations people start with, such as:
  • “When a subitem is created, copy a value from its parent item.”
  • “When all subitems are done, change the parent item’s status.”

2. All Automations

If you’re looking for more options, choose the All Automations feature from the search results.
This opens a page that includes every recipe available in the app — 100+ automations!


Gear Step 3: Set Up Your Automation

Once you find an automation you’d like to use:
    Click “Use Template” to start setting it up.
    You’ll now see a setup screen where you’ll fill out a few fields to tell the app how to apply this automation on your board.

Brain Example:

When subitem is created, set the value of its column to match the value of column in its parent item
In this recipe, you’ll be asked to fill in two dropdown fields:
  • Field 1: Choose the column of the subitem that will receive the value.
  • Field 2: Choose the column of the parent item that the value will be copied from.
Once both fields are set, click Create automation — and your automation is live!


Check Mark Button Step 4: Test Your Automation

After saving your automation:
    Create or update a subitem to trigger it.
    Check the related parent item (or subitem) to confirm the change happened automatically.
Light Bulb If the automation doesn’t work immediately:
  • Ensure both the parent and subitem columns exist and are the same type (e.g. both are “Status” or “Date”).
  • Edit the automation and double-check your selections.

  • Try another one from Top Automations for quick wins.
  • Browse the All Automations feature to explore every possible workflow.
  • Combine several automations to create powerful connected logic between items and subitems.
