TL;DR: When the status of a connected item (on another board) changes to a value you pick, this recipe moves the corresponding item on this board to a group you choose. Use it to stage items into "Done", "Archived", or any workflow phase automatically.

What this does

Recipe: "When a connected item on another board has its status changed to something, move item to this group."
Watches connected items on another board. When one of their status columns hits the value you specify, the recipe moves the corresponding item on this board into a group you choose.
The trigger is on the other board; the action is here. Same directionality as  When connected status changes, sync status  — but the action is a group move rather than a status change.

When to use it

  • Sales  Delivery: when a delivery item flips to Shipped, move the deal on this board into the Closed group
  • Tickets  Engineering: when an engineering ticket goes Resolved, move the support ticket into the Done group
  • Project  Task: when a task is marked Cancelled, move the linked project row into the Archived group

Before you start

This guide demonstrates how to set up connected board automations in  monday.com  to automatically move items between boards based on status changes. Completing this setup will streamline your workflow and ensure tasks are seamlessly handed off between different project boards without manual data entry.
This process is useful for project managers and team members who need to synchronize tasks across multiple boards. Use it when setting up board workflows to automate item transfers once a specific phase or task status is complete.

Setting up the Automation App

1. Click Automate in the top header of your destination board.
2. Click the Create tab at the top.
3. Type "connected boards automations" into the search bar.Click the Connected Boards Automations app card to view its available templates.

Configuring the Workflow Rule

4. Click the inner Search bar and type "move" to find the automation template we need.
5. Click the connected placeholder and select your Connect Boards column.
6. Click the another board placeholder.Select your source board to confirm the connect item's origin point.
7. Click the Status placeholder and select the Status column you want to use as the trigger.
8. Select the status label that will trigger the move, such as Done.
9. Click the group placeholder and select the destination group (e.g., Group 2) where the item will arrive.
10. Click Create automation to finalize and activate the rule.

Testing the Automation

Info: Always test your automation to ensure items move to the correct board and group as expected.
11. Navigate to your source board by clicking its tab in the left sidebar.
12. Click the status area of a test item.
13. Change the status to Done (or your configured trigger status).
14. Proceed to your other board to check if the item successfully moved to the correct group.

Common gotchas

  • The connect column must already exist and be populated. Only connected items trigger the move.
  • Groups must exist before setup. Renaming or deleting the destination group on this board breaks the recipe — re-pick it in the automation settings.
  • One trigger value per recipe. If multiple statuses on the other board should each move items to different groups, set up one recipe per pair.
  • The trigger is on the OTHER board. A status change here on this board won't fire this recipe.
Combine with the status-sync recipe. If you want both behaviors (move to group AND set status), set up both recipes — they don't conflict. See  When connected status changes, sync status .
